What Information Do We Require from Our Clients...

Whether you want us to do your accounts on a monthly basis, quarterly basis or annual basis, we still require the same information from you in order to complete your accounts.

Bank Statements - this includes personal statements if you do not have a separate business account; these can be provided in paper format or in spreadsheet format.

Paypal Activity - this can be provided in spreadsheet format. It is helpful if you denote what each transaction is for so that the number of questions that we need to ask are cut down.

Credit Card Statements - any credit card statements where purchases have been made for the company - this is so that we are able to make sure that all purchases have been accounted for properly.

Cheque Book Stubs/Paying in Book Stubs - you can either provide these as the booklets, or provide a spreadsheet with the information from each slip.

Receipts relating to all purchases, whether they are for petrol, postage or invoices from suppliers. It is helpful if it is noted on the invoice/receipt if the item was paid for out of a personal bank account or by personal credit card.

Information relating to Sales - this could be in spreadsheet format or copies of invoices sent to customers.

Payroll Information - if we are providing you with payroll services, you will need to provide us with the information one week before you require the payslips in order for us to get them to you in time.

You will need to fill in a questionnaire giving us some background information on your business.

Accounting Processes

Depending on your requirements, we can use several programs to record your accounts - QuickBooks® Accountant 2006, Sage Accounts 2007 and Excel. We also occassionally use the manual method of bookkeeping. Which method we choose to use will depend on whether you are already using any existing software, whether you track stock, whether you wish us to provide you with payroll services, and whether you are VAT registered or not. We will discuss the most appropriate solution with you.

You will receive:
* a Profit and Loss Statement
* Trial Balance
* Balance Sheet
* Supplier Summary and Customer Summary if you trade on credit terms
* a VAT return if applicable
If you wish any other type of report, please let us know.

These will be emailed to you in PDF format. If your accounts are done manually or by using Excel, you will be provided this information in paper format or in spreadsheet format.

For Payroll services:
two copies of the payslips will be mailed to you - one copy for your records and one for your employee. The Liability Balances will be provided in PDF Format.

Turnaround Time

It can be difficult to say how long a client's accounts will take to complete as there are a few factors to consider - the amount of paperwork that needs to be dealt with, the number of questions that we will have, the length of time it takes to gather all of the information and where a client is in the job queue. However, we will do our very best to complete your accounts within a 3 month period (this is based on providing an annual service). Ideally we like to get a client's accounts done within a 2 week period, but sometimes this is not possible due to the amount of information that needs to be dealt with.
